FAQ – Using Our Services
FAQ – Contact Information
- Is an online consultation required?
-
When a certified visa consultant submits an immigration application on your behalf, they are legally required to verify your identity and confirm your intent to apply. Once identity verification is complete, all subsequent communication can be conducted via email, chat, phone, or any method you prefer.
- Can a family member or acquaintance attend the online consultation instead of the applicant?
-
The applicant or their legal representative under immigration law must attend the online consultation. Representative requirements vary by application type, so please contact us for details.
- I’m not confident in Japanese or English. Can I still have a consultation?
-
Yes. While consultations are conducted in Japanese or English, we make every effort to accommodate those with language concerns. I’m not fluent in English myself, so I communicate slowly and carefully.
- What languages do you accept for web forms and emails?
-
Our office accepts inquiries in multiple languages. We use high-accuracy AI translation tools to respond, so please feel free to contact us in your preferred language.
- What are your consultation hours?
-
Consultations are primarily scheduled during weekdays, but we adjust flexibly to accommodate time differences and your work schedule.
- Can you review my documents during the free consultation?
-
We do not review or provide revision suggestions for application documents you’ve prepared during free consultations. Please use our Pre-Submission Review Service for document checks.
FAQ – Payment Methods
- When should I pay if I request visa application services?
-
Payment should be made after you request our services and before application submission. For Self-Filing Support and Pre-Submission Review Service, support begins after payment confirmation.
- What payment methods do you accept?
-
We primarily accept bank transfers only. Transfer fees are the client’s responsibility.
- Do you accept payments in currencies other than Japanese yen?
-
Yes. We accept transfers in multiple foreign currencies including US dollars (USD) and euros (EUR). Please contact us for details.
- Do you offer installment payment plans?
-
We do not generally offer installment payment options.
FAQ – Visa Application Procedures
- What is the fastest timeline from consultation to application submission?
-
The timeline varies depending on case complexity and document preparation, but after the initial consultation, application preparation typically takes 1-2 weeks once all materials are ready. Processing time for most visa types is approximately 1-3 months.
- My self-filed application was denied. Can you handle the reapplication?
-
Yes, we can assist. During a free consultation, we’ll review the denial reasons and assess approval prospects for reapplication, then recommend the best course of action. Please feel free to contact us.
- Does the applicant need to appear at the immigration bureau in person?
-
With the Complete Support Plan, the applicant generally does not need to appear in person. However, there may be exceptional cases where immigration requests personal attendance.
- Are there any visas that cannot be filed online?
-
As of 2025, “Permanent Resident,” “Diplomat,” “Temporary Visitor,” and certain “Designated Activities” visas cannot be filed online.
- Can you guarantee a long-term period of stay (3 years, 5 years, etc.)?
-
We cannot guarantee the period of stay as this is at immigration’s discretion. However, we work diligently to organize requirements and prepare supporting documents to maximize your chances of obtaining a longer-term visa.
FAQ – Refund Guarantee
- Is the refund guarantee available for all plans?
-
The refund guarantee is exclusive to the Complete Support Plan. If your application is denied, we will first handle the reapplication at no charge. If we determine that approval is unlikely even after reapplication, the refund guarantee applies.
- Does the Complete Support Plan guarantee a refund in all cases?
-
If the denial results from the applicant’s circumstances, such as concealing unfavorable facts or providing false information, the refund guarantee may not apply. Please refer to our refund policy for details.
- Will I receive a refund if I cancel midway?
-
After work has begun, cancellation may incur charges for document preparation, document review, application submission services, and other actual expenses, depending on the progress. Please contact us first to discuss your situation.
FAQ – Other Support Services
- How do you handle confidential and personal information?
-
We comply with the confidentiality provisions of Article 12 of the Administrative Scriveners Act and Article 11 of the Administrative Scriveners Code of Professional Conduct, and carry out our duties with integrity. Additionally, our office publicly discloses the purposes for which personal information is used in accordance with the Personal Information Protection Act.
Please refer to our Privacy Policy for details. - How is the residence card exchanged after application approval?
